Job Description
Key Accountabilities
• Human resources and administration – to act as primary HR and office administration point of contact in the country and to contribute to achievement in EVNL performance by aligning HR policies and business operation.
• Finance and Accounting – to precisely oversee accounting operations
• And co-ordination work with Country Manager and RHQ teams and 3rd party (consult) to ensure smooth business operation of EVNL.
Key Job Requirements

- Control and record the salary, PIT, SHUI document.
- Ensure the implementation of the provisions on remuneration issued by company y
• Recruitment:
- To receive, select and screen CV for interview.
- To summary the result of recruitment if required.
- To report recruitment budget if required
• Human Resource Management Systems
- Manage the development and maintenance of HRMS and Intranet.
- Maintain employee-related data bases
• Employee Relations
- Develop/ communicate HR policies, procedures, programs and laws.
- Ensure that adequate resources are provided timely and accurate to all employees, business partners or relevant parties.
• Hygiene, safety, labor protection
- Work with ESP to contribute, adjustment, additional policy regimes ensuring hygiene, safety…
- Monitoring the implementation of hygiene, safety and labor protection
• Fire protection & environment
- Work with the building owner to conduct fire drill and regulations.
- Follow, check fire protection, environment
• Reception duties
- Handle general enquiries and screen and transfer incoming calls to the relevant parties
- Attending to dispatch riders, courier services
- Arrange local & overseas courier service
- Maintain & update telephone extension listing into the Intranet
- Co-ordinating with tea ladies to make drinks for staffs and guests as & when they required
- Maintain cleanliness and neatness within Reception area
• Office maintenance, renovation/innovation
- Prepare documentation on maintenance of copier machines, vending machines and newspaper vendor, pest control …
- Liaise with landlord, internal staff and vendor on any issues relating to office maintenance
- Ensure office premises, equipment and facilities are properly maintained
• Hotel reservation
- Attend to hotel bookings and travel request details from staff and guest
- Contact relevant external agents or hotels for reservations according to request within the scope of company policies, in a timely manner
- Ensure confirmation from agents and update staff/guest on relevant information
- Maintain up to date information on hotel rates to all employees and update Intranet
- On an annual basis, liaise with the various hotels to get competitive corporate rates for our staffs and update accordingly
• Car management
- Work with Fleet vendor to manage car schedule and cost.
- Update car schedule every week.
• Expat support
- Work with vendors on immigration process and documents
- Arrange accommodation
• Purchase
- Follow purchase process
- Negotiate best terms and competitive costs with vendors
• Filing
- Ensure documents are filed properly and orderly relating to your area of work
- Renew contract
- Annual vendor evaluation
• Finance & Accounting
- Prepare and finalize BP/FC if required.
- Control operating expense budget on monthly/annual basis as required.
- Prepare bank documents, payment request on due date for approval and then proceed all necessary procedures for bank transactions;
- Checking and verification of all invoices
- Control petty cash and make report on petty cash
- Asset check if required
Job Requirements
Relevant experience
• Well planning and controlling budget
• Office management
• A deep knowledge of local regulations, labour regulation and C&B, employee relation
• Familiar with SGA/SAP and HRMS
